How Fieldday collects, uses, and protects your personal information.

This is the privacy policy for players and participants who register for a sports league through the Fieldday platform.

If you operate a league or organization that uses Fieldday to manage your operations, please refer to the Fieldday Privacy Policy for Tenants and the Data Processing Addendum that forms part of your service agreement.


1. Who we are

Fieldday is a software platform that sports leagues and organizations use to manage their operations, including player registration, scheduling, and communications. Fieldday is operated by KABOOM SG, located in Ontario, Canada.

2. How this works

When you register for a league or team that uses Fieldday, two organizations are involved in handling your personal information:

Your league is the organization you signed up with. They decided to use Fieldday to manage their operations and they are primarily responsible for your personal information under Canadian privacy law. They set the rules for how your information is used to run their league.

Fieldday provides the platform your league uses. We process your information on the league's behalf and we are directly responsible for keeping it secure on our systems.

This policy describes what Fieldday does with your information. Your league should also provide you with their own information about how they use it.


3. What we collect

We collect only what is needed to register you, run the league, and communicate with you.

When you register, we collect:

  • Your name
  • Your email address
  • Your phone number (where the league requires it)
  • The league and team you're joining
  • Your communication preferences

We do not collect your date of birth, government identifiers, or health information through Fieldday. If your league charges a registration fee, payment is handled by our payment processor and your card details are not stored on Fieldday's systems.

When you use the platform, we automatically collect:

  • Your IP address and approximate location (city or region only)
  • Device type, browser, and operating system
  • Pages you access and actions you take within the platform
  • Date and time of access

We use this information to keep the platform secure, troubleshoot problems, and improve the service. We do not build advertising profiles about you and we do not sell your information.


4. Why we use it

We use your personal information to:

  • Register you for your league or team and confirm your participation
  • Send you schedules, game updates, and league communications
  • Keep you signed in and keep the platform secure
  • Process payment, where your league charges a fee
  • Provide support when you need help
  • Improve the service, using aggregated and anonymous data
  • Meet legal obligations, including responding to lawful requests

We will not use your personal information for anything materially different without asking you first.


5. Your consent

When you register for a league through Fieldday, you consent to the collection, use, and disclosure of your information as described in this policy.

You can withdraw your consent at any time by contacting our Privacy Officer or your league. Withdrawing consent may mean we can no longer provide some or all of the service to you.

For league newsletters, promotional updates, and similar communications, we comply with Canada's Anti-Spam Legislation. Every commercial message includes a clear unsubscribe option.


6. Who sees your information

We do not sell your personal information. It is shared only in the following ways:

Your league can see the information you provided to them through the platform. This is the point of the service.

Our service providers help us operate Fieldday. They are only allowed to use your information to provide their service to us. They are:

  • Supabase (database and authentication)
  • Railway (application hosting)
  • Resend (email delivery)
  • Twilio (text message delivery)
  • Stripe (payment processing, where applicable)

Legal authorities, where required by a court order, subpoena, or other lawful request from a Canadian authority.

A successor, if Fieldday is ever sold, merged, or financed in a transaction that involves the transfer of customer data. Any successor will be bound by this policy or one substantially similar.


7. Where your information is stored

Fieldday's infrastructure is hosted with providers that operate data centres in Canada and the United States. Some of your information may be processed or stored outside Canada and may be subject to the laws of the country where it is held, including lawful access by foreign authorities.

We take reasonable contractual and technical measures to make sure your information is protected wherever it is processed.


8. How we protect it

We use safeguards appropriate to the sensitivity of the information we hold. These include:

  • Encryption of your information in transit and at rest
  • Multi-factor authentication for our administrative staff
  • Strict access controls so one league cannot see another league's data
  • Logging and monitoring of administrative activity
  • Regular review of our security practices

No system is perfectly secure. If a breach occurs that poses a real risk of significant harm to you, we will notify you and report it to the Office of the Privacy Commissioner of Canada as required by Canadian law.


9. How long we keep it

We keep your information only as long as needed.

  • While you remain an active member of a league using Fieldday, we keep your account information
  • If your account becomes inactive, we archive it after 24 months and delete it on a rolling basis afterward
  • Billing records are retained for seven years as required by Canadian tax law
  • Records of any privacy breaches are retained for 24 months as required by Canadian privacy law

When information is no longer needed, we delete or anonymize it.


10. Your rights

Under Canadian privacy law, you have the right to:

  • See the personal information we hold about you
  • Correct information that is wrong or incomplete
  • Withdraw your consent to our use of your information
  • Request deletion of your information, subject to legal exceptions
  • Receive a copy of your information in a portable format
  • Complain to our Privacy Officer, your league, or the Office of the Privacy Commissioner of Canada

For most requests about how your information is used by your league, contact your league first. For requests about how Fieldday handles your information on our systems, contact our Privacy Officer at [email protected]. We will respond within 30 days, or explain why we need more time.


11. Age

Fieldday is intended for users 18 years of age or older. We do not knowingly collect information directly from children.

If your league includes minor participants, the league is responsible for obtaining parental or guardian consent. If you believe a minor has provided information to Fieldday without appropriate consent, contact our Privacy Officer and we will take steps to delete it.


12. Cookies

Fieldday uses cookies and similar technologies to keep you signed in, remember your preferences, and understand how the platform is used. You can control cookies through your browser settings, though disabling them may affect how the platform works.

We do not use advertising cookies or third-party tracking for marketing purposes.


13. Changes to this policy

We may update this policy from time to time. Material changes will be communicated by email or through a notice on the platform before they take effect. The "Last updated" date at the top of this policy indicates when it was most recently revised.
